Portman, known publicly as CH Group, is a diversified organization operating across several industries, including mobility, infrastructure, and environmental sectors. The company had a clear vision: leverage technology and data to differentiate itself and become more data-driven, enabling better decision-making across its subsidiaries. However, their leadership team acknowledged that they didn’t know exactly where to begin, only that they needed to improve their processes to stay competitive.

The Challenges

The journey began when CH Group, a conglomerate of various subsidiaries, realized their existing systems were outdated and inefficient. Their key challenges included:

Lack of Centralized Financial Data
Each subsidiary manually generated monthly financial reports in Excel, which was time-consuming and inefficient. The leadership team sought a more effective way to track financial performance across subsidiaries.

Website and Online Presence
Despite being seen as an industry leader, CH Group’s website and Google Business Profile did not reflect their market position, leading to missed engagement opportunities.

Interoperability Between Subsidiaries
Each subsidiary faced technical challenges, with no centralized platform to house and share data. The need for a centralized data lake was critical to allow subsidiaries to work in harmony and make data-driven decisions collaboratively.

CH Group’s digital transformation needed to align with its company culture. The leadership recognized that introducing new technologies without fostering a culture of adaptation would not be successful.

The Solutions

Our approach to solving CH Group’s challenges began with a listening tour to uncover their underlying issues. We met with key leadership members, including the CEO, Kwaku Bediako, and COO, Cynthia Darko, to fully understand their needs and business goals. The digital transformation was designed to be a top-down approach, addressing both technology and cultural barriers to change.

Financial Dashboard

The first major initiative was to solve the issue of financial reporting. CH Group’s leadership wanted a better way to understand the financial health of their subsidiaries without wading through endless Excel sheets. A financial dashboard was developed using Looker, which replaced the monthly Excel-based reporting system. This dashboard provided a real-time, centralized view of the financial performance of each subsidiary, allowing for quicker, more informed decision-making.

Website Redesign
At the same time, we worked on redesigning CH Group’s website. The urgency of this task grew when the CEO and COO were invited to present at an African Business Panel at Harvard University. Their digital presence needed to be up to date, as presented with an outdated website would undermine their credibility and authority. We successfully redesigned the website in just three days to reflect CH Group’s leadership and market position. The revamped site provided a more modern, user-friendly interface and ensured that CH Group could present itself confidently.

Despite the rapid redesign, the work was far from complete. We continued to refine the website to ensure it fully represented CH Group’s culture and aspirations.
Google Business Profile & Analytics

Next, we turned our attention to CH Group’s Google Business Profile, which also needed to be updated to reflect accurate and relevant data. By analyzing user interactions and keywords, they were able to gather insights into how customers were searching for CH Group and what information they needed. This data was invaluable for the marketing team, who could now tailor lead-generation strategies based on user behavior.

Cultural Transformation
Technology alone wouldn’t suffice. CH Group needed to build a culture that could embrace and sustain digital change. The company had core values that guided its business practices, but these needed to be integrated into the digital ecosystem.
The first step in this cultural transformation was the development of a new intranet platform designed to enhance communication and collaboration across the organization.

The initial version of the intranet, however, was too focused on technical details and lacked the user-friendly, vibrant elements that would encourage engagement. Based on feedback, we evolved the platform into something more colorful, intuitive, and aligned with CH Group’s culture, ensuring it was a tool employees would want to use.

The Solutions

1. Comprehensive Assessment and Planning

Yazi conducted a thorough review of Dr. Walker’s existing infrastructure and created a detailed plan for an independent IT overhaul tailored to his needs.

2. Procurement and Infrastructure Setup

  • Yazi procured state-of-the-art computers, Chromebooks, routers, and other essential hardware to enhance operational capabilities.  
  • Wi-Fi networks were configured, ensuring reliable and secure connectivity.  
  • Google Workspace was selected as the productivity tool, and all user data was migrated smoothly for collaboration enhancement.

3. Modernizing the eHR System

The outdated ‘ECH’ system was replaced with DrChrono, providing a secure, user-friendly platform for patient data management. Yazi ensured a HIPAA-compliant data migration to streamline data access and improve regulatory compliance. 

4. Enhanced Communication Systems

Yazi developed and implemented modern phone, internet, and VOIP solutions designed to meet the unique needs of a family practice.

5. Billing System Integration

Partnering with Yeo Yeo, Yazi developed and integrated a custom billing system using OpenPm, enhancing financial management within DrChrono.

6. Desktop-as-a-Service (DAAS) Solution

When Chromebooks couldn’t support the essential ‘Innote’ tool, Yazi delivered a DAAS solution, allowing Dr. Walker II Family Medicine to use the tool seamlessly and without interruptions.
